Accessing Room Booker


You may book rooms via our online booking service, Celcat, aka Room Booker. Once your room has been approved you will receive confirmation via your student email. If any changes are made to your booking, or your booking has been rejected, you will receive a notification to your email.

Room Availability


During term time, rooms are only available to book between: 

  • 07:30 to 23:30 from Monday to Friday (Practice Rooms) 
  • 09:00 to 23:30 from Monday to Friday (Band Rooms, Studios, Specialist Rooms)  
  • 08:30 to 17:00 on Saturday 
  • 09:00 to 17:00 on Sunday 

Please be aware that outside of term time the availability of the rooms may differ, and less rooms may be available.

General Room Restrictions & Booking Requirements


(General restrictions for all students)

What you can book and for how long is determined by your course and year, however some rooms have specific restrictions which apply to all students: 

Ensemble / Band Rooms

Bookings can only be booked for a minimum of 3 participants. The exception to this rule are band rooms 304a and 304b which can be booked without a minimum number of participants. You should indicate how many of you there will be in total in the notes field when you make your booking request, otherwise it might be rejected. 

Tutorial Rooms

Headphones must be used, unless recording vocals, in the tutorial rooms on Level 3. Vocal / instrument practice is not permitted in these rooms. 

Lecture Rooms

Please check your pathway specific allowances. If you are able to book, lecture rooms only available for student bookings after 6:00pm to avoid disruption to other teaching. Please be aware your lecture room bookings may be cancelled with short notice, if required for teaching.

Grouped Rooms

The following rooms are ‘grouped rooms’. Group 1: Tutorial, Practice and Specialist rooms. Group 2: Band and Ensemble rooms. Your daily/weekly allowance is the total of hours you have booked across the grouped rooms, not the individual rooms. For example: You may not book 4 hours in a tutorial room AND a specialist room, but you may book 2 hours in each, totalling 4 hours. 

Playhouse Square

Room numbers followed by ‘PLAY‘ are rooms in Playhouse Square, e.g ‘509 PLAY’, and can only be booked by Acting, Actor Musician and Musical Theatre students.

Unbookable Rooms

The following rooms may not be booked by students: 218/219/The Venue and Meetings Rooms 502a and 502b

What you can book and for how long is determined by your course and year, as listed below. Please be aware that bookings requested within 24 hours of the booking start time do not count as part of your weekly allowance.

Student Guests – Recording Studios and Rehearsal Rooms


Students may bring guests into the conservatoire for recording and rehearsal sessions. For guests to be allowed in, the host student must ensure:

  • they have a completed advanced booking through CELCAT with a reference number.
  • guest(s) are over 18 years old on the day of the booking.
  • guest(s) have physical photo ID such as a passport or driving licence.
  • guest(s) are signed in and out and be always accompanied by the student.
  • guest(s) must provide date of birth, mobile phone number and address.
  • guest(s) wear identity wristband provided by security with date and room stated.
  • their ID/access card must not be transferred to guests for door access or to loan items.

Guests are permitted to use the Café:Bar but are not permitted to utilise any other resources such as PC or Mac computer suites, Library, or other recording studios and rehearsal rooms without an advanced booking.

Please be aware that during the weekends, there may be students from Leeds Junior Conservatoire (Saturdays), and Young Yorkshire Musicians (Sundays) at the same time as student guests. However, students are always under the supervision of a DBS-checked member of staff.

Host student must be present when signing in the guest, accompany them throughout the duration they are within the conservatoire, and must accept full accountability for the guest(s) actions while on campuses. Please refer to Student Code of Conduct on SPACE and Leeds Conservatoire reserves the right to prevent or revoke access to student guests.

GDPR: We collect the name, mobile phone number and address of all student guests to protect our students, staff and other guests. Your privacy is important to us, and your information will be stored securely. However, please be aware that we may be required to disclose this information to law enforcement authorities if necessary. You have the right to access, rectify, or delete your data at any time. How long does it take to get my booking confirmed? 

Bookings are processed Monday to Friday. Please be aware that bookings are processed in date order (soonest to furthest away) so a booking for a week or more in the future may take longer to be confirmed during busy periods. We receive a large number of room bookings per day (as many as 1,000 per week) so you may not get confirmation of your requested rooms until a day before the booking.     

You cannot use a room unless you have had your booking confirmed, with the exception of weekend bookings. If you want to book a room for a Saturday or Sunday, you should submit your booking request before noon on Friday.  

Can I cancel my booking?

Yes, you may request to cancel all your bookings yourself through your Room Booker account.  Log into Room Booker with your conservatoire username and password. Using the menu on the top left, select ‘Room Booker’ and then ‘Room Bookings’. Select the booking you’d like to cancel. Under the ‘Room Booker’ menu, select ‘Change State’. From the drop-down menu, click ‘Cancel’. The booking status will update to ‘Cancellation in Progress’, but is not fully cancelled until you receive a confirmation email. We then receive a notification that you have requested a cancellation and we will cancel the booking at our end you will receive an email confirming the cancellation when it has been processed.   

Can I extend my booking? 

If you have made a booking but you wish to extend it, please create a new booking for the additional time. You cannot extend a booking by editing the time of the existing booking.  

Where do I get a key? 

Keys and equipment for the practice rooms and the band rooms are available from the Facilities counter on the Ground floor. Keys and equipment for the studios are also available from the Facilities counter on the Ground Gloor. 

What should I do if something is damaged / broken? 

Please contact Facilities or the Technicians to report the problem, or send an email, detailing the issue to: musicproductionresources@lcm.ac.uk 

What do I do if somebody is in the room I booked? 

You should ask them to vacate the room if you have booked it; if you feel uncomfortable doing this then please go the Facilities counter for assistance. No-one should be using a room unless they have booked it. If both of you believe that you have booked the room, go to the Facilities counter to double check who holds the booking.  

Why was my booking rejected? 

Please check the notes in the booking rejection email for the reason. Typically, it will be because:   

you have teaching over the booking period;  

you have booked over an existing booking of your own;  

you have used your allowance for that room type;  

you do not have access to that room type;  

you have not included how many people will be using the room when requesting band/ensemble rooms.   

You can prevent your requests being rejected by:  

cancelling pre-existing bookings that you no longer need;  

giving us a short explanation in the notes if you are booking over some teaching that is cancelled.
